Region Personnel Conference - Refresh


The conference will be delivered as a hybrid event with the opportunity to attend in person or to join virtually with other Region Team Members to discuss key activities, plan the year ahead and have some fun. There will be a combination of guest speakers, work shops, Region Team sessions and much more.

This conference is designed to support you in the vital role that you play to support Guiding.

The Annual General Meeting will be included in the program and you do not need to register separately.

Online Attendees

Joining in online:

Each session has its own individual zoom meeting link. These links are listed above next to each session.

At the end of the session you will need to leave the meeting and then click the next zoom link to join the next session.

During the breaks, make sure to step away from your screen, stretch and get something to eat and drink.  

Make sure to join the sessions on time indicated above.

What you will need:

Electronic device with microphone and camera to join the meeting.
Notebook and pen to take notes however sessions will also be recorded.
Drink and snacks, there will be time given for breaks. 

What to wear:

Guide uniform shirt.

How to use Zoom

Chat function will be enabled and we encourage you to use this to interact with the presenter during the session.
Please keep your microphone muted to eliminate any background noise.
If you have a question or comment please unmute yourself to ask and then return to mute setting.
Please have your camera on for the presenter to be able to see who is participating online.
You will be able to rename yourself online so we are able to mark attendance. Example: First & Last Name and Region
There will be times when the presenters will share video's, polls, questions and collaborative platform links in the chat to gather your thoughts and to interact with. Please make sure you are able to use the chat function to access these links.


In Person Attendees

What you will need:

- Uniform to be worn during Saturday and Sunday sessions.
- Casual neat attire for Friday and Saturday night dinner.
- Comfortable shoes.
- Sleeping attire.
- Personal toiletries and medications.
- Notebook and pen.  
- Mobile phone to use for online polls, quiz, collaborative platforms etc

Those giving presentations, please bring your laptop with video and microphone capability, power cord, mouse and additional accessories. Also please bring a copy of your presentation on a thumb drive.


ADM 28:  
If you are attending in person, please make sure to complete your ADM 28 and keep a copy on you during the conference.

Arrival:

Arrival at Rydges Sydney Central Square is from 4pm onwards. 
Please use the main entrance on Albion Street, make your way to the Foyer and check in at the Girl Guide registration table to collect your room key.

Please make sure to read the Rydges Check In Policy below before you arrive:
Credit card guaranteed on check in:

You will be required to provide a credit card imprint or equivalent at check in. A pre authorisation of $0.01 will be debited from your credit card which will be credited back to your credit card within 10 working days if no incidental charges occur upon check out.

Should you not be able to provide a credit card upon check in, a $300 cash /debit card deposit for the incidental charges will be required upon check in (fully refunded upon check out, less expenses).

A photo identification will also need to be presented. A record and/or copy of this photo identification may be retained to minimise the risk of fraudulent credit card usage and for verification purposes.

Friday Night Dinner:

A reservation will be made at Sydney Brewery, restaurant located in Manna Loft at Rydges Sydney Central.

Table will be reserved from 5pm and you can enjoy the Happy Hour between 5-7pm.
Dinner and drinks will be own cost for Friday night.

Accommodation:

In person attendees only.
Please make sure to read the Rydges Check In Policy under the Arrival heading.

- You will receive your room allocation upon arrival. 
- Rooms are shared, 2 person to a room. 
- Linen and towels are supplied.
- You will have your own toilet and shower per room.
- Check out time on Sunday is 11am.
Please make sure to collect all your items and bring them to the morning sessions. There will be space in the meeting rooms to keep your bags.

Catering:

All meals during Saturday and Sunday are included.
Dietary restrictions advised in your registration will be taken into account.

Breakfast
A La Carte menu
Make your order at the Manna Loft Restaurant.
Tea and coffee are complimentary however espresso coffee is at your own cost.

Morning & Afternoon Tea
Will be made available in the main meeting room, Oxford, foyer.
There will be a selection of items as well as dietary requirements selections.

Lunch
Will be made available in the Manna Loft Restaurant.
Those with dietary requirements will be accommodated.

Saturday Night Dinner
Will be in the Surry Rooftop room located in Rydges. Casual formal wear to be worn, no Girl Guide uniforms.
Meals will be a shared table banquet and there will be alcoholic and non-alcoholic drinks available.

There will be a great entertainer to bring some fun to the evening.

How to get there:
This venue can be accessed via train and a short walk, taxi, uber or personal car.
Please note car parking will be at own cost paid at Rydges Reception, $30 per car per day. 

Parking and Transport
  • There is parking available onsite at the venue at a cost of $30 for the weekend
  • If you are driving and require parking please, make sure to advise in your registration and we will pass this onto Rydges to make sure space is available. 
  • Parking instructions will be sent to you closer to the conference date.


From Central Station (6 min walk)

Exit the Station onto Eddy Avenue or Elizabeth Street.
Make your way to Elizabeth Street.
Walk 100m North on Elizabeth Street.
Turn right onto Albion Street.
Rydges Sydney Central will be on the left
 

Driving from South NSW

Follow M5 and M1 to Sydney.
Take the exit towards South Dowling Street from M1.
Turn left onto Fitzroy Street.
Continue straight onto Foveaux Street.
Use the right lane to turn right onto Elizabeth Street.
Turn right onto Albion Street.
Rydges Sydney Central will be on the left.  


Driving from North NSW

Follow Bradfield Hwy to Sydney.
Use any any to turn left onto Western Distributor (Signs for Western Suburbs).
Take the exit towards City S/Darling Harbour.
Turn left onto Bathurst Street.
Turn right onto Elizabeth Street.
Turn left onto Albion Street.
Rydges Sydney Central will be on the left.

Travel Fund

Apply to have half your travel cost covered by Girl Guides.

Girl Guides NSW, ACT & NT have a dedicated fund available to provide Members with financial assistance to attend special projects, camps, training and international conferences as well as to provide Volunteers with financial assistance to attend administrative events.

Eligibility
Members of Girl Guides NSW, ACT & NT and non-member volunteers in NSW, ACT & NT are eligible to access the fund.

An individual may access this or any similar fund only once in three years.

Applicants will be eligible for assistance of up to half the travel component of their expenses.

Youth applicants must be recommended by their Unit Leader.
Adult applicants must be recommended by their Region Manager.

Application
Applications for Youth and Adult members must be submitted in wirting to the State Commissioner no later than 6 weeks prior to the commencement of the event.
Applications for Olave members must be submitted in writing to the State Olave Program Consultant for final approval by the State Commissioner no later than 6 weeks prior to the commencement of the event.

Selection
Selection is decided by the State Commissioner.

The outcome of the selection for Youth, Olave and Adult members will be advised in writing to the applicants by the State Commissioner or her delegate.
